Responsibilities:

This is a great opportunity for someone who is highly organized and enjoys technology and variety. The Administrative Assistant provides support to two areas: IT and leadership (50% each, which may vary depending on needs and projects at a given time). This position is located in our downtown Seattle office and will have the opportunity for some remote work.

  1. Working closely with our IT & Systems Coordinator and external IT vendor to update cloud database of IT inventory changes and log devices statuses, order and track new hardware and track machine setup, as well as involvement in technology projects and other duties as assigned.
  2. Providing basic administrative assistance for executives in our Seattle office including scheduling, meeting support including minutes, assistance with billing and digital file management, support for completion of expense reports, timesheets, and other duties as assigned.

Typical duties will include:

  • Order and track set up and configuration of office workstations as directed by IT vendor and IT & Systems Coordinator
  • Document and maintain inventory of the IT assets and users
  • Follow IT policies and procedures and ensure compliance with security standards
  • Maintain and update records
  • Proactively assist with administrative tasks as assigned, finding opportunities to increase efficiency and productivity
Necessary Skills and Attributes:

Requires an understanding of basic IT in an office environment: laptops, placing technical orders, setup, software, setup of new hire profiles. Must have very strong administrative skills: typing, electronic document management, email and calendar, and highly proficient with MS Office Suite (Word, Excel, Outlook, Teams). Understanding of and interest in cloud-based systems, user profiles, etc. Quick and accurate typing. Experience with project management software and basic understanding of cloud-based relational databases is strongly preferred.

Preferred Education and Experience:
  • 2 years in a professional office environment including some responsibility for technology setup and coordination.
  • Experience working with executives in an administrative support role.

Total Comp and Benefits:
