We are seeking a highly organized and proactive assistant to managers to provide comprehensive administrative support across two properties in the Pacific Palisades/Brentwood area for an UHNW family. This role will work closely with the estate management team, assisting with scheduling, inventory management, vendor coordination, and general office administration. The ideal candidate is a strong communicator, detail-oriented, and capable of multitasking in a dynamic environment. Requirements :

  • Strong administrative skills, including proficiency in Microsoft Word, Excel, and organizational spreadsheets.
  • Excellent communication and listening skills, with the ability to take detailed meeting minutes and relay information effectively.
  • Proactive and resourceful, able to take initiative and anticipate needs.
  • Strong organizational skills, with experience in calendar management, tracking inventory, and document preparation.
  • Ability to manage multiple priorities and adapt to changing tasks.
  • Comfortable handling errands, shipping, and vendor coordination.
  • Previous experience in hospitality, office administration, or communications is a plus.
  • Must have a valid driver's license and be willing to travel frequently between two properties.

Responsibilities :

  • Maintain and update schedules and calendars for estate managers.
  • Process purchase orders, receive and return items as needed.
  • Oversee inventory tracking and ordering of household and office supplies.
  • Assist with vendor coordination and communication.
  • Research, prepare documents, and handle various office administrative tasks.
  • Manage packing, shipping, and tracking of deliveries.
  • Organize and maintain digital and physical records for estate operations.
  • Draft and distribute meeting minutes and key updates to managers.
  • Handle expense reports and credit card reconciliations.
  • Assist with pet care scheduling and appointments.
  • Ensure all principal and guest requests are handled promptly and communicated to the appropriate managers.
  • Support estate staff celebrations and coordinate special events in collaboration with the team.
  • Maintain high standards of service and discretion within the properties.

Schedule :

  • Full-time, Monday – Friday (9 AM – 6 PM or 8 AM – 5 PM)

Compensation :

  • $35 - $45 per hour, based on experience
  • Comprehensive benefits package, including PTO, paid holidays, and vacation

Location :

  • Two private properties in the Pacific Palisades/Brentwood area
